The problem

The Strengthened Standards changed what assessors look for.

Reading through the audit findings ACQSC has published since 1 November 2025, one pattern shows up repeatedly. The gap isn't in the policies. The policies are usually fine.

The gap is one floor below: between what the policy says and what the team can demonstrate happened on a Tuesday afternoon when an assessor walks the floor.

  • A care plan reviewed within timeframe — but the reminder sat in someone's notebook. The evidence trail doesn't show it.
  • A maintenance check completed — but the form was paper, the photo wasn't taken, and the bath hoist sign-off can't be produced when asked.
  • An incident classified correctly — but the SIRS notification clock started 18 hours late because the email got buried.

Each of those is a workflow problem, not a policy problem.

The Strengthened Standards have shifted what's being assessed: less "show me the document," more "show me how the document got lived." Most of the work of meeting that bar is in the in-between spaces — the handoffs, the captures, the timestamps, the reminders.

What a Sprint looks like

30 days. Fixed scope. One Standard. One gap. Audit-ready evidence at the end.

Week 1

Map

Workshop with your Quality Manager and one or two operational leads. We pick the single most exposed evidence gap and map the current workflow end-to-end — who does what, where the policy lives, where the evidence is meant to be captured, where it goes missing.

Week 2

Design

We build the target-state workflow. Reminders that fire from the policy, not from someone's notebook. Captures that happen on-device, not on paper. Timestamps from the system, not from memory. All inside your existing tools — typically Microsoft 365, but we adapt to your stack. No new platform. No vendor lock-in.

Week 3

Build & test

We configure the workflow against your real data, with one nominated team running it live. We don't build in isolation — your team uses it, breaks it, tells us what's wrong, we fix it.

Week 4

Handover & evidence pack

Final test. Training video. Policy-to-evidence map your assessor can read. One-page Board summary. Documentation handed over. We're gone on day 30.

Where a Sprint helps most

Five common evidence-trail breaks. Pick the one your last audit flagged.

Strengthened Standards Evidence Map

One workflow that turns documented policy into audit-ready evidence across Standards 1–7. The launch SKU — best for providers heading into their first audit under the new Standards.

SIRS Incident Triage Workflow

The awareness-to-notification clock made explicit. Acknowledgement, escalation, and timestamps that survive audit scrutiny — not "the email got buried."

Associated Provider Register & Monthly Statements

Standard 8 governance for subcontractor arrangements. The 30-day urgency window most providers haven't operationalised yet.

Service Agreement Variation Tracker

When a service or preference changes, the change propagates automatically to the team delivering the care — not via verbal handover that drifts.

Care Plan Review & Reminder Engine

The 90-day-review trigger fires from the plan itself, not from a personal calendar reminder. Survives turnover, survives audit.

If your situation doesn't map cleanly to one of these, tell us on the scoping call. We've shaped workflows for adjacent gaps too.

What's in standard scope: one Standards gap, one workflow, on your existing Microsoft 365 tenant, up to 2 sites. Materially different scope — multi-site rollouts, custom integrations beyond M365, non-Microsoft environments — gets scoped and quoted on the scoping call before any work starts. Whatever we agree goes into the engagement letter. No surprise variations.
The guarantee. If audit-ready evidence isn't captured by the end of the Sprint, 50% refund. Stated in the engagement letter.
Why this works

A few things that make the Sprint different.

Workflow-led, not platform-led.

We design the workflow first. The tool comes second — and it's almost always tools your team already has a licence for.

Built on your stack.

Most builds sit inside Microsoft 365. If you're on Google Workspace or another platform, the design principles transfer — we adapt the build to your tools.

Your team commits ≤6 hours.

Half a day for the Week 1 workshop, an hour each week for testing, an hour for handover. The build happens around your team, not on top of them.

FAQ

Common questions.

Do we need to switch our clinical care system?

No. We work alongside whatever you're running — AutumnCare, Manad Plus, iCare, or others.

What if we're not on Microsoft 365?

The workflow design is the durable part. The build adapts to your tools — Google Workspace, on-premise systems, or hybrid. We confirm the build approach on the scoping call.

How much technical work does our team do?

We do the configuration. Your team contributes domain knowledge — what the policy is meant to achieve, where evidence currently lives, what breaks. Approximately 6 hours total over four weeks.

What happens if our audit is sooner than 30 days?

Tell us on the scoping call. We can accelerate to 14 days for an additional A$2,000 — same scope, same guarantee.

Are you affiliated with the regulator?

No. We're independent. We don't represent the Commission, the Department, or any peak body.

What does the engagement letter cover?

Scope, deliverables, the 50% refund clause, IP (you own everything), confidentiality, and the standard schedule. We send it on the scoping call.

Can we run a Sprint across multiple sites?

Yes — typically for the Programme tier. We design the workflow once and roll it out across sites in Week 3-4, with a per-site readiness check.
